Participant Data Handling for Online Training Registration Effective Date: July 16, 2025

Applicable To: All participants registering for Chartered Institute of Treasury Management online training programs. 

 1. Purpose

This policy outlines how personal data collected via our online training registration form will be used, stored, and protected. The form collects minimal information solely to facilitate training administration, communication, and record-keeping.

 

2. Data Collected

The registration form collects only the following basic information:

- Full Name 

- Place of Work/Organization 

- Professional Role/Title 

- Email Address 

- (Optional) Phone Number 

- (Optional) Accessibility Requirements

- Place of work

 

 3. How Data Will Be Used

Collected data will be used exclusively for: 

- Training Enrollment: Confirming participation, managing attendance, and granting access to training materials. 

- Communication: Sending logistical details (e.g., schedules, Zoom links), updates, and post-training feedback surveys. 

- Certification: Issuing certificates of completion/attendance. 

- Accessibility Support: Addressing specific needs disclosed voluntarily 

- Aggregate Reporting: Generating anonymized statistics (e.g., total participants, organizational sectors) for internal improvement. *Individual data is never shared in reports. * 

 

 4. Data Storage & Security

- Storage: Data is stored securely in the Institute Database System. 

- Access: Limited to authorized training administrators and facilitators requiring the information to perform their roles. 

- Protection: Industry-standard security measures access controls in a secure system and protect against unauthorized access, loss, or misuse. 

5. Data Retention

- Participant data will be retained for only as long as necessary for the purposes stated above. 

- Retention Period: Data will be deleted or anonymized within 6 months after training completion, unless longer retention is required for legal/compliance reasons e.g., training certification audits. 

- Contact information for future training announcements requires explicit consent. 

 

 6. Data Sharing & Third Parties

- No Sale/Rental: Data will never be sold, rented, or shared with third parties for marketing or commercial purposes. 

- Limited-Service Providers: Data may be shared with essential service providers (e.g., email platform like Mailchimp, LMS provider, webinar platform like Zoom) strictly under contract to deliver the training. These providers are bound by confidentiality and data protection agreements. 

- Legal Obligations: Data may be disclosed if required by law or to protect vital interests. 

 

7. Participant Rights

Participants have the right to: 

- Access: Request a copy of their personal data held by us. 

- Rectification: Request correction of inaccurate data. 

- Deletion: Request deletion of their data (subject to legal/operational constraints). 

- Withdraw Consent: Withdraw consent for communications (opt-out links are included in all emails). 

- Complaints: Lodge a complaint with a supervisory authority.
